Role Summary
We are seeking a highly professional, discreet, and proactive Senior Executive Secretary / Personal Assistant to provide dedicated support to the Executive Director, Human Resources & Administration for a listed company.
Key Responsibilities
Executive & Administrative Support
Provide comprehensive secretarial and administrative support to the Executive Director, HR & Administration.
Manage complex calendars, appointments, meetings, and travel arrangements.
Prepare correspondence, reports, presentations, briefing papers, and meeting materials.
Screen and prioritize incoming communications, ensuring timely follow-up and action.
Coordination & Stakeholder Management
Coordinate meetings with Board members, senior management, external stakeholders, regulators, and business partners.
Liaise with internal departments to ensure effective communication and execution of action items.
Track key projects, deadlines, and deliverables on behalf of the Executive Director.
Organize management meetings, committee meetings, and corporate events as required.
Documentation & Governance Support
Maintain accurate records, confidential files, and corporate documentation.
Support HR and administrative initiatives, policies, and special projects.
Ensure proper handling of sensitive and confidential information in accordance with corporate governance standards.
Job Requirements
Diploma or Bachelor’s Degree in Business Administration, Secretarial Studies, Human Resources, Management, or a related field.
Minimum 8 years of experience as an Executive Secretary, Senior Secretary, Personal Assistant, or Executive Assistant supporting C-suite executives, Directors, or senior management.
Experience working in a public-listed company or large corporate environment is highly preferred.
Excellent command of English, both written and spoken.
Strong proficiency in Microsoft Office applications, particularly Word, Excel, PowerPoint, and Outlook.
Exceptional organizational, multitasking, and time-management skills.
Ability to work independently, prioritize tasks, and manage multiple deadlines.
High level of integrity, professionalism, and discretion in handling confidential matters.
