Corporate Secretarial Associate (CoSec) – 12-months Contract

Our client operates one of Southeast Asia’s largest online e-commerce platform, enabling seamless buying and selling across multiple product categories. Their business integrates advanced technology with a strong logistics ecosystem to support fast deliveries and secure transactions. They focus on empowering sellers, enhancing customer experience, and driving digital commerce growth across the region.

Key Responsibilities:

We are seeking a detail-oriented and proactive Corporate Secretarial Associate to support our clients corporate governance team in managing the statutory compliance and corporate administration of their overseas subsidiaries across multiple jurisdictions. The candidate should have a strong foundation in corporate secretarial practices, excellent organizational skills, willing to work as a team, able to work under pressure and the ability to manage diverse tasks in a fast-paced environment. Prior experience with Southeast Asian jurisdictions is an added advantage.

  • Assist supervisors in ensuring statutory compliance for Asia Pacific subsidiaries, including annual returns, regulatory filings, and maintenance of statutory registers and minute books.
  • Prepare, organize, and maintain company’s statutory records, resolutions, and filings in accordance with local laws and internal policies.
  • Support updates to company and director particulars across jurisdictions, including registrations of changes with relevant authorities.
  • Coordinate and assist in organizing board and shareholder meetings for overseas subsidiaries.
  • Maintain and enhance the Group’s internal documentation management system and approval workflows.
  • Handle day-to-day administrative tasks for the corporate governance team, ensuring timely follow-ups and efficient operations.
  • Assist in special projects and ad hoc assignments related to corporate restructuring, due diligence, audits, or governance improvements.

Job Requirements:

  • Recognized Bachelor’s degree in Law, Business, Accounting, or a related field.
  • Member of professional body of company secretaries in Malaysia or any other country in Southeast Asia.
  • Minimum of 2-4 years of corporate secretarial experience, preferably within a multinational corporation or professional services firm.
  • Strong command of English and Chinese (Mandarin), spoken and written.
  • Proficient in Microsoft Office Suite; experience with document management is a plus.
  • High level of accuracy, discretion, and ability to handle confidential information.
  • Self-motivated, organized, and able to work independently as well as part of a team.
