Documentation Verification Executive

Report: Deputy Operations Manager

Responsibilities:

  • Handle all the document verification and compilation for confirm orders transmitted by Marketing department.
  • To verify Customer PO and ensure that it matches with our “delivery orders (DO)”.
  • To prepare documents for export, delivery to forwarder etc.
  • Verify the quantity, UM, and the unit price in DO are updated correct.
  • To record and update endorsed copies of bonded permits received after delivery.
  • Collating certificates provided by purchaser whenever required (e.g pilot ladder, mooring rope, etc) and to verify that the expiry date of the certificate is still valid.
  • To assist operation department if required.
  • To perform processes as per documented requirements to uphold integrity of data accuracy, required for measurement the effectiveness of management’s continual improvement effort

  • Be aware of the quality and environmental policy and significant quality and environmental requirements associated with their work activities.
  • Be aware of the consequences of departure from the specified system procedures and work instruction.

  • Approve outgoing documentation for release to delivery personnel upon verification
