Finance & Administration Manager

Job Purpose

To ensure the smooth and efficient running of the organisation and provide leadership in

All financial matters, including budget development, planning and reporting; managing the accounts, payroll and all financial reporting activities

All operational matters, including managing HR requirements and overseeing activities to ensure safe and cost-effective management

To work as part of the Senior Management to contribute financial and operational expertise in the development and implementation of organizational strategies, policies, practices, funding proposals and applications

To interact with the Board of Directors, Finance & Staffing Committees by providing financial reports and information to ensure sound financial and operational governance

To work closely with the management team to provide financial and operational monitoring and controls on all programmes of work and activities, including reports and overseeing analysis of data and budget administration

📌 Reports to: Managing Director

 

Key Responsibilities

1. Improve operational systems, processes and policies – specifically, better management, reporting, information flow and management, business processes and organisational planning

2️. Manage and increase the effectiveness and efficiency Support Services (Finance & Operations) through improvements to each function as well as coordination and communication between operational support and programme development & delivery

3️. Play a significant role in long-term planning, including an initiative geared toward operational excellence

4️. Oversee all financial management, planning, systems and controls

5️. Management of budget in coordination with the Management

6. Development of individual programme budgets

7. Payroll management, including tabulation of accrued employee benefits

8. Organisation of fiscal documents

9. Regular meetings with Management around fiscal planning & development

Responsibilities by Function

1. Financial Management, Planning and Analysis

2️. Lead annual budgeting and planning process for annual budget

3️. Be responsible for Accounting policy and governance

4️. Cash flow management

5️. Develop and manage annual budget

6. Lead of production of monthly and quarterly assessments and forecasts of financial performance against budget & cash flow, financial and operational goals

7. Develop long-range forecasts and maintain long-range financial plans

8. Prepare draft audit accounts and be a liaison with the externally appointed auditor

9. Prepare monthly and quarterly management accounts for the organisation including reports to be holding company

10. Lead on short and long-term financial and managerial reporting

11. Oversee day to day processing of accounts

12. Reconcile monthly activity, generating year-end reports and fulfil tax related requirements

13. Manage month-end and year-end closing procedures

14. Provide financial management of all projects funded activities and programmes

15. Maintain archival and financial administrative files

16. Manage payroll, pension schemes, employee benefits and organisational insurance

17. Manage bank accounts to ensure sufficient liquid funds whilst investing surplus cash

18. Ensure that accounting requests are resolved and communicated in a timely manner to internal and external parties

Job Requirements

1. Relevant qualification in Finance and Management

2. MBA or Accounting qualifications are preferred

3. At least 5 years in Financial & Operations Management

4. Strong background and work in Finance

5. Budget development and oversight

6. 5 plus years in bookkeeping

7. MS Office, including Outlook, Access, Word & Excel
