The Role:
We are seeking a highly skilled and impeccably organized Executive Assistant to serve as the right hand to our CEO. This is a critical role that goes far beyond traditional administrative tasks. You will be a strategic partner, managing the CEO’s complex schedule, acting as a gatekeeper, and serving as a key liaison for internal and external stakeholders. The ideal candidate is a master of communication, a wizard with PowerPoint, and possesses the business acumen to draft compelling proposals and reports. You will play a vital part in ensuring the CEO’s efficiency and the seamless execution of company priorities.
Key Responsibilities:
Executive Support & Communication:
- Manage the CEO’s complex and dynamic calendar, including scheduling meetings, appointments, and travel arrangements with a high degree of precision.
- Act as the primary point of contact between the CEO and employees, clients, investors, and board members, demonstrating exceptional professionalism and discretion.
- Prepare and organize meeting agendas, take detailed minutes, and track action items to ensure follow-through.
- Screen and prioritize incoming communications (emails, phone calls, etc.) and respond on the CEO’s behalf when appropriate.
- Handle confidential information with the utmost integrity and sensitivity.
Content Creation & Business Documentation (Core Requirement):
- Develop high-impact PowerPoint presentations for a variety of audiences, including board meetings, investor pitches, company all-hands, and industry conferences. This includes strong visual design, data visualization, and clear storytelling.
- Research, draft, and edit business proposals, reports, and executive communications (emails, memos, letters).
- Compile and analyze data to create pre-reads and briefing documents to ensure the CEO is fully prepared for all engagements.
- Assist in the creation and formatting of other business documents as needed.
Strategic & Operational Support:
- Proactively anticipate the CEO’s needs and prepare accordingly to maximize their productivity.
- Plan and coordinate company events, leadership off-sites, and board meetings from conception to execution.
- Manage special projects, conducting research and providing administrative support to drive initiatives to completion.
- Track key business metrics and help prepare updates for the leadership team.
Qualifications & Experience:
- 5+ years of experience as an Executive Assistant supporting C-level executives
- Proven expertise in Microsoft Office Suite is non-negotiable, with absolute mastery of PowerPoint. You must be able to create visually stunning and effective presentations from scratch.
- Demonstrated experience in drafting, writing, and formatting complex business documents such as proposals, reports, and strategic plans.
- Exceptional written and verbal communication skills, with a keen eye for detail and grammar.
- Superior organizational and time-management skills with the ability to prioritize tasks in a fast-paced environment and meet tight deadlines.
- Proactive, resourceful, and able to operate with a high degree of autonomy and sound judgment.
- Discreet and trustworthy, with a proven ability to handle confidential information.
- Bachelor’s degree in Business Administration, Communications, or a related field is preferred.
